General Information and Procedures

1. Venue

2. Date of Event
17 - 19 July 2012 (Tuesday – Thursday)
3. Types of Booths
a) Shell scheme design (3m x 3m) (RM8,000-00/US$2,750-00 per booth)

Inclusive of :

  • Rear and dividing walls of 2500mm high using white aluminium system and white melamine panels
  • Fascia to include exhibitor name in block type cut-out letterings
  • Two units 40 watt fluorescent light
  • One unit 13Amp single phase power point
  • One unit information desk
  • Two units white folding chairs
  • One unit waste paper basket
  • Carpet for booth area

b) Bare space of 3m x 3m (RM7,500-00/US$2,600-00 per booth)

4. Benefits for Exhibitors
Every registered booth is entitled to :
  • Complimentary write-up in the Souvenir Programme, of the exhibitor's products and services (150 words for every 9 sq meter confirmed)
  • Exhibitor's logo, full contact details and product write-up will be included in APHM's website: www.aphmconferences.org. (This will be in the exhibition floor plan section)
  • Complimentary Internet Kiosk for exhibitors' use
  • Complimentary invitation cards for viewing of exhibition
  • Database of conference delegates and exhibition visitors (will be given after event)
  • 15% discount for Conference seats (based on non-menber rates)
  • 15% discount for advertisements in the Souvenir Programme
5. Payment Terms
(a) Deposit of RM2,000/US$500 per booth is required to secure your booking. Balance payment is required by 16 April 2012

6. Booth Selection System
Selection of booth is on a first payment received basis. Payment terms as per no. 5 above
7. Closing Date
All exhibition booking forms and full payment must be received by 16 April 2012
8. Cancellation Charges
The following cancellation charges will be imposed for every booth cancelled, according to the following schedule:

9.

Additional Equipment and Electrical Fittings
Additional items may be ordered from the exhibition contractor. 30% surcharge is applicable to orders received after 17 June 2012 and 50% surcharge for on-site orders of items (subject to availability). The Exhibition Logistics Information, inclusive of order forms for additional equipment and electrical fittings will be given to confirmed exhibitors.

10. Set-up Time
2.00 pm to 10.00 pm on 16 July 2012 (Monday)

Dismantling Time
6.00 pm to 9.00 pm on 19 July 2012 (Thursday)

12. Trade Viewing of Exhibition
Please note that the Exhibition will be open for trade viewing from 9.30 am to 5.00 pm on 17 – 19 July 2012
13. Liability/Insurance
Although the Organizers will do its utmost to ensure the security of the area, they shall not be held responsible in the event of any loss or theft of exhibitors' belongings. All exhibitors are responsible to ensure that their items are adequately insured.
14. Official Exhibition Contractor
Exhibitors who have booked bare space and who will be doing independent stand constructions are required to get their contractors to liaise with the Official Exhibition Contractor, Instant Tradeshows & Exhibitions Sdn. Bhd. We will send to the exhibitors, the rules and regulations pertaining to bare space stand construction.
